Managing Accounts
The Accounts module helps you track companies, organizations, and business entities your team works with. Link people, deals, and activities to accounts for a complete view of every business relationship.
The Accounts Module
The built-in Accounts module comes pre-configured with essential fields:

Account Types, Stages, and Status
The Accounts module uses three fields to categorize and track accounts:
Type
Categorize accounts by their relationship to your business:
| Type | Description | Use Case |
|---|---|---|
| Customer | Companies that buy from you | Active paying accounts |
| Prospect | Potential future customers | Sales pipeline targets |
| Partner | Strategic business partners | Resellers, integrations, affiliates |
| Vendor | Companies you buy from | Suppliers and service providers |
Stage
Track where accounts are in your sales or relationship lifecycle:

|---|---|
| Lead | Initial interest, not yet qualified |
| Qualified | Confirmed fit, actively engaged |
| Negotiation | Discussing terms and pricing |
| Closed | Deal finalized |
| Onboarding | New customer setup |
| Active | Ongoing relationship |
Status
Track the current health or state of the account:
| Status | Description |
|---|---|
| Active | Currently engaged |
| Inactive | No recent activity |
| Churned | Former customer |
| On Hold | Temporarily paused |
Customizing These Fields
- Go to Settings > Modules > Accounts
- Find the Type, Stage, or Status field
- Add your own options (e.g., "Enterprise", "SMB", "Agency")
Account Record Layout
Overview Tab
The main view displays:
- Company information and logo
- Key metrics (revenue, size, industry)
- Account owner and team
- Quick action buttons
People Tab
See everyone associated with the account:
- Primary contacts
- Decision makers
- All linked people
- Add new people directly
Deals Tab
Track revenue opportunities:
- Open deals and their stages
- Won/lost history
- Total deal value
- Pipeline forecasting
Activity Timeline
Complete interaction history:
- Emails sent and received
- Meetings and calls logged
- Notes and comments
- Field changes
- Task completions
Documents Tab
Files and attachments:
- Contracts and agreements
- Proposals and quotes
- Meeting notes
- Any uploaded files
Creating Accounts
Quick Create
- Click + New in the Accounts module
- Enter the account name
- Add key details (domain, industry, type)
- Click Save
From Email Domain
When you add a person, Coherence can auto-create the account:
- Create a new person
- Enter their email address
- Click Create Account from Domain
- Account is created with domain pre-filled
From Import
Bulk import accounts:
- Go to Accounts > Import
- Upload your CSV or Excel file
- Map columns to fields
- Review duplicates and import
Account Hierarchy
Parent-Child Relationships
Model complex corporate structures:
- Parent Account: Holding company or headquarters
- Child Accounts: Subsidiaries, divisions, or locations
Setting up hierarchy:
- Open a child account
- Find the Parent Account field
- Link to the parent company
Viewing Hierarchy
- See parent/child relationships on the account page
- Roll up metrics from child accounts
- Navigate between related accounts
Account Enrichment
Automatic Data Enhancement
Coherence can enrich account data from public sources:
- Company logo
- Industry classification
- Employee count
- Social profiles
- Technologies used
Account enrichment is available on Pro and Enterprise plans. Enable in Settings > Integrations > Data Enrichment.

- Account name
- Domain
- Industry keywords

Build powerful queries:
Type = Customer

AND Owner = Me
Save as a view for repeated use.
Account Metrics
Built-in Analytics
Track key account metrics:

Custom Rollups
Create your own metrics:
- Add a rollup field to Accounts
- Select the related module (Deals, Tasks, etc.)
- Choose the aggregation (Sum, Count, Average)

Maintain Data Quality
- Standardize naming conventions
- Merge duplicate accounts
- Keep domains accurate for email linking
Assign Clear Ownership
- Every account should have an owner
- Use teams for collaborative accounts
- Set up ownership transfer workflows
