Connect calendar events to contacts, deals, and other records

Linking Events to Records

When calendar events are linked to records, you get complete context on every interaction with your contacts and accounts.

Linked events provide:

  • Complete timeline - See all meetings on a contact's record
  • Preparation - Review history before meetings
  • Accountability - Track who met with whom
  • Reporting - Measure meeting activity

Automatic Linking

Coherence automatically links events based on:

Attendee Matching

  1. Event has attendees (from invite)
  2. Attendee email matches a contact's email
  3. Event appears on that contact's timeline

For best auto-linking, ensure your contacts have accurate email addresses.

Domain Matching

If attendee email domain matches a company:

  • Event links to the company record
  • Useful for new contacts at known companies

Reference Detection

Coherence scans event titles and descriptions for:

  • Deal names or IDs
  • Record URLs
  • Company names
  • Project references

Manual Linking

  1. Open the event in Calendar
  2. Click Link to Record
  3. Search for the record
  4. Select to link

For multiple events:

  1. Go to Calendar view
  2. Filter to show unlinked events
  3. Select multiple events
  4. Click Link Selected
  5. Choose records to link

From a contact or deal:

  1. Open the record
  2. Click Activity tab
  3. Click Link Event
  4. Select from your calendar

What Gets Linked

Event Data on Records

When an event is linked, the record shows:

One event can link to:

  • All attendee contacts
  • The primary company
  • A related deal/opportunity
  • Any other relevant records

Managing Linked Events

Viewing Linked Events

On any record:

  1. Go to the Activity tab
  2. Filter by Meetings
  3. See past and upcoming events

Unlinking

To remove a link:

  1. Open the event
  2. Click the linked record
  3. Click Unlink

The event remains on your calendar, just no longer associated with that record.

If an event should link elsewhere:

  1. Unlink from current record
  2. Link to the correct record
  3. History updates accordingly

Meeting Outcomes

Adding Outcomes

After a meeting:

  1. Open the linked event
  2. Click Add Outcome
  3. Record what happened:

From a meeting outcome:

  1. Click Create Task
  2. Task links to same records
  3. Due date pre-set from meeting

Team Meeting Activity

View team-wide meeting data:

  1. Go to Reports > Activity
  2. Select Meetings
  3. Filter by team, date, record type

Best Practices

Pre-Meeting

  1. Check linked record for context
  2. Review past meeting notes
  3. Prepare agenda based on history

Post-Meeting

  1. Add outcome immediately
  2. Create follow-up tasks
  3. Update deal stage if relevant

Data Quality

  • Keep contact emails accurate
  • Use consistent naming conventions
  • Link events promptly

The more consistently you link events, the more valuable your activity timeline becomes.
