Complete guide to creating and configuring table, kanban, calendar, and list views

Views & Layouts

Views let you see the same data in different ways. Create multiple views for different workflows, team members, and use cases.

Understanding Views

Every module can have unlimited views. Each view is a saved configuration of:

  • Type - Table, Kanban, Calendar, or List
  • Fields - Which columns/data to show
  • Filters - Which records to include
  • Sort - How records are ordered
  • Grouping - How records are organized

Creating a New View

Quick Create

  1. Click the view dropdown in the module header
  2. Click + New View
  3. Choose the view type
  4. Name your view
  5. Click Create

From Existing View

  1. Open the view you want to copy
  2. Click the view dropdown
  3. Select Duplicate View
  4. Rename and customize

Table View Configuration

The spreadsheet-like view for managing data at scale.

Column Setup

Adding Columns

  1. Click the + at the end of the header row
  2. Select fields from the dropdown
  3. Or search for fields by name

Removing Columns

  1. Right-click the column header
  2. Select Hide Column
  3. Or drag column out of the view area

Reordering Columns

  1. Click and hold the column header
  2. Drag left or right
  3. Drop in the new position

Resizing Columns

  1. Hover between column headers
  2. Drag the divider left or right
  3. Double-click to auto-fit content

Sorting

Single Column Sort

  1. Click any column header
  2. Click again to reverse direction
  3. Arrow indicator shows sort direction

Multi-Column Sort

  1. Hold Shift and click additional columns
  2. Numbers indicate sort priority (1, 2, 3)
  3. Click again to reverse that column

Sort Panel

  1. Click Sort in the toolbar
  2. Add multiple sort rules
  3. Drag to reorder priority
  4. Save with the view

Filtering

Quick Filter

  1. Click the filter icon in a column header
  2. Select values to show
  3. Multiple selections use OR logic

Advanced Filters

  1. Click Filter in the toolbar
  2. Click + Add Filter
  3. Select field, operator, and value
  4. Add more conditions as needed

Filter Operators

Field TypeOperators
Textequals, contains, starts with, ends with, is empty
Numberequals, greater than, less than, between, is empty
Selectis, is not, is any of, is none of
Dateis, before, after, between, relative (today, this week)
Referenceis, is not, is empty
Checkboxis checked, is not checked

Filter Groups

Combine conditions with AND/OR:

(Status is "Active" AND Owner is "Me")
OR
(Priority is "High")

Save commonly-used filters as separate views for quick access.

Row Grouping

Enable Grouping

  1. Click Group in the toolbar
  2. Select a field to group by
  3. Records cluster by that field's value

Grouping Options

  • Collapse All - Show only group headers
  • Expand All - Show all records
  • Group Aggregates - Show count, sum, average per group

Date Grouping

Date fields can group by:

  • Day
  • Week
  • Month
  • Quarter
  • Year

Inline Editing

Edit data directly in the table:

  1. Click any cell to edit
  2. Make your change
  3. Click away or press Enter to save
  4. Press Escape to cancel

Bulk Editing

  1. Select multiple rows (checkbox column)
  2. Click Edit Selected
  3. Choose field and new value
  4. Apply to all selected records

Row Actions

Right-click any row for options:

  • Open Record - View full details
  • Quick Edit - Edit key fields
  • Duplicate - Create a copy
  • Delete - Remove the record
  • Copy Link - Get shareable URL

Kanban View Configuration

Visual boards for workflow management.

Setting Up Kanban

Choose the Group Field

  1. Create or open a Kanban view
  2. Click Configure or the gear icon
  3. Select the Group by field
  4. Must be a Select or Multi-select field

Column Setup

Each option in your Select field becomes a column:

  • Columns appear in the field's option order
  • Reorder options in field settings to reorder columns
  • Hide columns you don't need

Card Configuration

Card Title

The primary field displays as the card title.

Card Fields

Choose which fields appear on cards:

  1. Click Card Settings
  2. Toggle fields on/off
  3. Drag to reorder
  4. Choose compact or detailed display

Card Colors

Color-code cards by field:

  1. Go to Card Settings
  2. Enable Color by
  3. Select a Select field
  4. Cards inherit that field's option color

Kanban Interactions

Moving Cards

Drag cards between columns to update the group field:

  • Drag "In Progress" to "Done" updates Status
  • Auto-saves immediately
  • History tracks the change

Column Limits (WIP Limits)

Set maximum cards per column:

  1. Click column header menu
  2. Set Card Limit
  3. Column shows warning when exceeded

Collapsed Columns

Hide columns you don't actively use:

  1. Click column header menu
  2. Select Collapse
  3. Shows as narrow bar with count

Kanban Filters

Same filtering as Table View, applied to the board:

  • Cards not matching filter are hidden
  • Column counts update to reflect filter
  • Clear filter to show all

Calendar View Configuration

Date-based visualization for scheduling.

Calendar Setup

Select Date Field

  1. Create or open Calendar view
  2. Choose the Date field for positioning
  3. Records appear on that date

Optional: End Date

For events with duration:

  1. Enable End Date
  2. Select the end date field
  3. Events span across days

Calendar Displays

Month View

  • Overview of all records
  • Click a day to see records
  • Drag records to reschedule

Week View

  • Detailed weekly layout
  • See time blocks
  • Better for scheduling

Day View

  • Hourly breakdown
  • Detailed day planning
  • Best for time-specific events

Calendar Interactions

Rescheduling

Drag events to new dates:

  1. Click and hold the event
  2. Drag to the new date
  3. Drop to save

Creating Records

Click a date to create a new record:

  1. Click the date
  2. Quick create form opens
  3. Date field pre-filled

Event Display

Event Colors

Color events by a Select field:

  1. Open Calendar settings
  2. Enable Color by
  3. Choose the field (Status, Priority, etc.)

Event Labels

Customize what shows on events:

  1. Primary field is always shown
  2. Add secondary fields
  3. Balance readability with information

List View Configuration

Simple, fast, mobile-friendly display.

List Layout

Primary Information

  • Record title (primary field)
  • One-line summary of key fields

Secondary Information

Add quick-glance fields:

  1. Open List settings
  2. Select Display Fields
  3. Choose 2-4 key fields

List Interactions

  • Click row to open record
  • Swipe actions on mobile
  • Quick checkbox for completion fields

Map View Configuration

Visualize records with addresses on an interactive map.

Map Setup

Select Address Field

  1. Create or open a Map view
  2. Choose the Address field for locations
  3. Records with valid addresses appear as markers

Marker Configuration

Zoom & Navigation

  • Zoom controls (+/-) in corner
  • Pan by dragging the map
  • Click "Locate" to center on your position

Marker Interactions

  • Click marker to see record summary
  • Click "View details" to open full record
  • Markers show count badge when clustered

Best for: Location-based data, sales territories, property management

Address fields with geocoding store coordinates automatically for accurate map placement.

Select Image Field

  1. Create or open a Gallery view
  2. Choose the Image field for card covers
  3. Records display as visual cards

Card Configuration

Display Options

Card Sizes

  • Small - 6 cards per row, compact
  • Medium - 4 cards per row (default)
  • Large - 3 cards per row, detailed

Aspect Ratios

  • Square - 1:1, Instagram-style
  • Portrait - 3:4, Pinterest-style
  • Landscape - 16:9, video-style
  • Click card to open record
  • Hover for subtle zoom effect
  • Filter and sort like any view

Best for: Product catalogs, portfolio items, real estate listings


Timeline View Configuration

Horizontal Gantt-style visualization for date-based records.

Timeline Setup

Date Field Selection

  1. Create or open a Timeline view
  2. Choose Start Date field
  3. Optionally choose End Date for ranges

Graph View Configuration

Network visualization for relationship exploration.

Relationship Configuration

  1. Create or open a Graph view
  2. Select Reference fields to visualize
  3. Records become nodes, references become edges

Graph Features

Force-Directed Layout

The graph automatically arranges nodes using physics simulation:

  • Connected nodes pull together
  • Unconnected nodes push apart
  • Click "Reset" to rearrange

Node Interactions

  • Click node to select and highlight connections
  • Click again to open record
  • Faded nodes show unconnected records

Zoom & Pan

  • Zoom controls for scale adjustment
  • Drag background to pan view

Best for: Relationship mapping, knowledge graphs, dependency analysis

Graph view works best with bidirectional reference fields. Enable "Allow backlinks" on reference fields for richer visualizations.


Saving and Sharing Views

Save Changes

Views auto-save as you configure them. To manually save:

  1. Click Save View in the toolbar
  2. Or confirm when switching views

Sharing Views

Make View Shared

  1. Open the view dropdown
  2. Click the view name
  3. Select Share View
  4. Choose visibility:
    • Private - Only you
    • Team - Specific teams
    • Everyone - All workspace members

Edit Permissions

  • View only - Others can use but not modify
  • Can edit - Others can change settings
  • Full access - Others can delete or share

Default View

Set which view opens by default:

  1. Open the view dropdown
  2. Click next to a view name
  3. Select Set as Default
  4. New users and links open this view

View Best Practices

Naming Convention

Use descriptive names:

  • ✅ "Pipeline - Enterprise Deals"
  • ✅ "Tasks - Due This Week"
  • ✅ "Contacts - Missing Email"
  • ❌ "View 1"
  • ❌ "My View"

Purpose-Built Views

Create views for specific tasks:

Sales Module Views:
├── All Deals (Table, no filters)
├── My Pipeline (Kanban, filtered to owner)
├── Closing This Month (Table, date filter)
├── At Risk (Table, probability < 50%)
└── Meeting Calendar (Calendar, by meeting date)

Performance Tips

For large datasets:

  • Use filters to limit records
  • Hide unnecessary columns
  • Avoid complex multi-level grouping
  • Consider archived record views
