Coherence vs Help Scout: Support Connected to the Rest of Your Business

An answer can be correct and still leave the customer waiting. Support explains what needs to happen, but someone in delivery must do it. The account manager needs to know the request exists. The next person who replies needs to see whether anything changed.

If that handoff is your recurring problem, the support platform is only part of the buying decision.

Coherence is the better Help Scout alternative when you want support and the underlying customer work in the same record workspace. Help Scout is a strong option when you want a dedicated support experience and are happy with the business systems around it.

Both products cover more than the inbox

Help Scout offers Inbox for customer conversations and Docs for self-service. Its current Customer Portal documentation describes authenticated support history on Plus and Pro, with email-code login and controlled company-level visibility.

So the argument for Coherence cannot simply be that it has a portal or a knowledge base. Help Scout has both. The useful comparison is what those features connect to and how your team wants to manage the work.

Coherence makes the Case part of the record system

In Coherence, Cases uses the same list and detail conventions as the other modules. Your team gets saved views, display settings, filters, and role-controlled import and export. It can add custom fields and related-record tabs in Module Builder.

The staff Create Form is configurable too. A business can capture the information it needs at intake while keeping essential Case fields protected. Staff can open a Case for someone calling in, link the Person and Account, and identify Phone as the source. A portal login is not required for staff intake.

Inside a Case, Activity brings customer replies and internal notes together. The private Note field gives staff somewhere to keep longer context. Related-record tabs can expose the Tasks or other records needed to complete the work, while Relationships shows the graph.

For a small team, familiarity is part of the benefit. People handling Cases use the same record model they use elsewhere, rather than learning one set of fields for support and another for customer operations. The Cases guide describes the current configuration options.

One audience may not be enough

A customer portal and a partner portal can need different answers. An employee help space may share very little with either.

Coherence lets administrators create multiple portals with separate branding, selected Knowledge bases, and allowed People types. Customer, Vendor, Partner, and Employee are supported audience types. Invitation and portal access remain separate from creating or deleting the underlying CRM Person.

That is useful when these audiences already exist in your workspace. A partner can receive access to the appropriate portal without being turned into a member of the internal staff team.

There are limits to plan around. Coherence portals use Coherence-hosted addresses; custom domains and subdomains are not available yet. Portal content is Knowledge and Cases, not a general-purpose storefront, billing center, or interface to every CRM module. See Portals.

Knowledge needs an owner as well as an editor

Coherence separates general Collab documents from maintained Knowledge. Articles have audiences, review information, and publication states. A published revision stays stable while a later draft is edited, and staff can link useful articles to Cases without changing those articles' visibility.

For inbox replies, staff chooses published sources and reviews the suggestion before sending. AI generation, when configured, uses the workspace's provider. This is a controlled assistance workflow, not autonomous support resolution.

Help Scout's Docs and support tooling may already fit a team whose work revolves around answering customer questions. Coherence's advantage becomes more meaningful when the answer also belongs beside a Case, customer relationship, and the work being coordinated elsewhere in the same workspace.

Compare the right paid plans

Coherence includes Shared Inbox, Cases, Knowledge, and Portals on Pro, Team, and Enterprise. The standard-region Pro price is $29 per user/month; Team is $79 per user/month. Regional pricing and plan limits apply. Coherence pricing is the current reference.

For Help Scout, compare the plan table for your inboxes, Docs sites, routing, and AI usage. Plus or Pro is required for Customer Portal. Its pricing also separates AI Answers from the core subscription. Do not assume a basic inbox plan includes the whole workflow you are evaluating.

The fair calculation includes the systems that remain. If your CRM and project tools are settled, a dedicated support platform may be the simpler purchase. If you are replacing several disconnected customer workflows, evaluate Coherence's combined scope.

When to keep a dedicated support platform

Help Scout deserves the shortlist when support is a distinct function, the surrounding customer systems work well, and its conversation and Docs experience fits the team. Its email-code portal login may also suit an audience that would rather avoid another password.

Coherence is a better candidate when the same people move between support, account management, and operational work throughout the day. Trial a request that requires another team to act. If you can see the request, the customer, and the remaining work without reconstructing the story, you have tested the difference that matters.

Start with Cases and Portals, then use one representative customer request to evaluate the handoff.
