A request arrives by phone, gets discussed in chat, and is eventually answered by email. A week later, nobody can confidently say who owns the remaining work.

That is a case-management problem. The business needs a durable record of the request, the person responsible, the customer involved, and what must happen before it is resolved.

For small businesses connecting service requests to customer and operational records, Coherence is our first choice in this shortlist. Zendesk, Freshdesk, and Zoho Desk are worth considering when the dedicated help desk is the center of the workflow.

This guide covers customer-service Cases. It does not evaluate specialist legal matter management or clinical case-management systems.

What we compared

We reviewed current vendor documentation and Coherence's implementation on September 11, 2026. This is a Coherence-published editorial comparison, not a laboratory benchmark or customer survey.

The criteria are staff intake, ownership, customer history, configurable fields, related work, and external follow-up. Every product here can be useful; the important distinction is which system should own the request.

1. Coherence: best for Cases connected to customer work

Coherence Cases is a system module. That means it shares the record tools used elsewhere in the workspace while protecting the core fields that the workflow depends on.

Staff can open a Case for a caller, set the source, associate an existing Person and Account, and assign it. The caller does not need a portal login. Each Case receives an autonumber, and the list supports saved views, a filter builder, display settings, and role-controlled import and export.

Module Builder can add custom fields and related-record tabs. Its Create Form configuration controls which additional fields appear during staff intake. This is useful when a request needs business-specific information without turning every field into a separate implementation project.

For example, a service company could use Module Builder to add installation phase and service location fields, then configure a related Tasks tab. Staff would then have the intake details and follow-up work together on the Case.

Customer replies and internal notes appear in Activity. A separate Note supports staff-only context, while the sidebar keeps metadata and linked Knowledge close. Eligible customers can submit and follow Cases through Portals.

Cases is included on Pro, Team, and Enterprise, starting with standard-region Pro pricing of $29 per user/month. Check pricing for regional prices and limits. Choose it when the people resolving requests also work in customer and operational records. Verify specialist service analytics or channel requirements separately.

2. Zendesk: best for a dedicated service data model

Zendesk supports custom ticket and customer fields and custom objects. It is a credible option when the service organization wants to extend its own data model around tickets.

Check the relevant plan and object limits against your actual design. The presence of custom objects is not the same as unlimited customization on every plan. Ask your administrator to demonstrate a request linked to the extra business data you need.

The decision for a small business is whether that service-specific system should be the primary home for the work, or whether Cases should sit within the broader customer workspace.

3. Freshdesk: best for a conventional help-desk starting point

Freshdesk's Growth plan includes ticketing, a shared inbox, a customer portal, Knowledge, and ticket-linked collaboration features. Its listed annual-billing price is $19 per agent/month; Pro is $55 and Enterprise $89.

That makes Freshdesk a useful starting point when the goal is a conventional support workflow. Inspect the higher tiers when your needs include more extensive customization or multiple products.

The tradeoff is the surrounding system. Map how customer and delivery records reach the help desk, who maintains those connections, and where work goes after a support response. A lower entry price is valuable only if the chosen plan carries the whole request.

4. Zoho Desk: best when Zoho is already on the shortlist

Zoho Desk's plan comparison spans email support, help centers, web forms, and different levels of service functionality. It deserves attention when your team is evaluating Zoho's broader business software as well as a help desk.

Multiple departments and branded help centers can change the relevant tier. Zoho documents multi-brand capabilities in Enterprise, so establish those requirements before comparing entry prices.

Evaluate the integration you intend to use rather than assuming that products sharing a vendor automatically share every record, field, and permission in the way your business needs.

Test the request after the first answer

The most revealing trial includes a request that stays open through several handoffs:

  1. A staff member creates it for someone calling in.
  2. A second teammate finds the customer and understands the request.
  3. Someone adds an internal note that must stay private.
  4. Another person completes related work outside the support exchange.
  5. The customer receives an update and checks the permitted history.
  6. A manager filters the unresolved Cases without asking each owner for a status.

Write down where each step lives. If the same information has to be copied repeatedly, you have found a cost that the subscription price will not show.

A dedicated help desk can be the better fit when support needs its own deep operational system. Coherence is the stronger candidate when Cases should participate in the same customer records, views, and related work as the rest of the business.
