The newsletter goes out on time. A prospect responds, asks about a service, and eventually becomes a customer. The campaign report can tell you about engagement; the team still needs to know who owns the inquiry and what was promised.
For some businesses, that is the moment a search for a Mailchimp alternative becomes a search for a different operating setup.
Coherence is a Mailchimp alternative for small teams that want email campaigns alongside configurable CRM records, Sites, tasks, projects, and documents. Mailchimp remains a relevant choice when email marketing is the main requirement and the surrounding systems already work. The distinction is the work you want to consolidate.
Mailchimp already does more than newsletters
A fair comparison starts here: Mailchimp offers audience management, marketing CRM, signup forms, segmentation, automation, and integrations. Calling it “email with no CRM” would be inaccurate. Those capabilities appear in Mailchimp's feature overview.
The useful question is what your team means by CRM. Is it mainly a marketing audience with profiles and segments? Or is it also the place where staff organize relationships, custom records, commitments, and ongoing work?
Coherence's case is strongest in that second situation. A campaign is part of the platform rather than the boundary of what it organizes.
We reviewed vendor documentation and Coherence's current guides on September 21, 2026. This is a Coherence-owned editorial comparison, not a deliverability test or a claim of feature parity.
| Buying question | Mailchimp | Coherence |
|---|---|---|
| What is the main job? | Create, automate, and measure marketing communication | Manage customer operations, including email campaigns |
| Where does audience context live? | Marketing CRM, profiles, tags, and segments | Module records and static or dynamic campaign audiences |
| What follows the campaign? | Use the surrounding tools and integrations appropriate to your process | Manage related customer work with records, tasks, projects, and documents |
| How is email delivered? | An integrated marketing email service | A connected Postmark, SendGrid, or Resend provider |
| What should decide the trial? | Whether the marketing workflow meets your needs | Whether consolidating marketing and customer work improves the process |
The case for Coherence: keep the offer and the work connected
Imagine a consulting team promoting a training program. It needs a signup page, a list of eligible recipients, educational messages, and a way to coordinate delivery after a customer books. This is an illustrative process, not a reported customer result.
In Coherence, Sites can host the page and an eligible form can create a record in a selected module. The record can preserve the requested program and the visitor's notes. The team can organize preparation in tasks and projects and keep the materials in documents.
Campaigns adds the email initiative: messages, enrollment, waits, sender configuration, and reporting. The platform brings these tools together; the operator still defines the process, permissions, and next actions. Learn how the initial handoff works in the website form-to-CRM guide.
That is a more specific reason to switch than wanting another email editor. It is useful when several people need the same customer context after the marketing interaction.
Separate a newsletter launch from ongoing onboarding
These jobs need different setup. For a one-time promotion, a saved audience defines who should enter at launch. For ongoing onboarding, each newly eligible person needs to enter at the right time and start with the first message.
Coherence supports static and dynamic audiences. When a campaign launches from a saved audience, that audience becomes an enrollment snapshot. Later changes to the list do not silently reshape the running campaign.
For an ongoing program, configure a supported record-created or external-event entry method instead. Each recipient then follows their own timed journey. A campaign uses one enrollment method at a time.
This distinction should be part of any migration brief. “Move our welcome campaign” is not enough information if the old workflow includes people at different stages, recurring triggers, or exceptions.
Where Mailchimp may still be the right choice
Keep a working Mailchimp setup if your team primarily needs marketing communication and its existing audience management and automation fit the job. Mailchimp's automation offering addresses automated marketing workflows; a lack of automation is not the case for switching.
If a particular ecommerce integration, reporting view, experiment, or specialized email requirement is central to your business, verify it in a representative account. This article does not establish that Coherence replaces every Mailchimp feature.
Coherence's current campaign reporting covers aggregate delivery and engagement. It does not yet provide campaign revenue attribution or time-series trends. Read the reporting boundaries before committing to a measurement workflow.
Plan the migration around people, not just templates
Start by listing audiences, custom fields, active automations, message assets, sending identities, suppression records, and who is already partway through a journey. Preserve the information needed to respect existing opt-outs.
Rebuild one low-risk program first. Map the fields, preview the audience, send to internal test recipients, and verify links and message order. Decide explicitly whether current participants finish in the old system or move with a controlled enrollment plan. Avoid running two copies of the same welcome series.
Coherence's sending documentation describes the supported providers and workspace-wide marketing suppression. Category-level preference management is not currently available. A list of email addresses alone is not a complete migration.
Is Coherence cheaper than Mailchimp?
That depends on the actual workload and which other tools you can retire. Compare your current Mailchimp quote with the Coherence plan, delivery-provider charges, applicable usage, and migration work. We have not calculated savings for your business.
Does switching guarantee better email delivery or more leads?
No. This comparison contains no inbox-placement or conversion benchmark. Evaluate the message, recipient eligibility, sender setup, and follow-up process in addition to the software.
Choose Coherence when the unfinished work is the relationship around the email. Explore Campaigns with one real customer process in mind, and judge the platform by whether the team can carry that process through.
