Setting Up an Inbox

Create a shared inbox and connect email or SMS channels

Create a shared inbox, connect it to an email account or phone number, and start receiving conversations.

Creating an Inbox

  1. Navigate to Shared Inbox in the sidebar
  2. Click the + button in the inbox sidebar
  3. Enter a name for the inbox (e.g. "Support", "Sales", "Billing")
  4. Click Create

You can create multiple inboxes to organize conversations by team or function.

Connecting Email

After creating an inbox, connect an email account so that incoming messages appear as conversations.

Gmail (OAuth)

  1. Open your inbox and click Connect Channel
  2. Select Gmail
  3. Sign in with Google and grant the requested permissions
  4. The connected email address will start receiving conversations

To connect a shared Google Workspace mailbox (e.g. [email protected]), enable delegated access in Google Admin, then sign in with a user who has delegate access and enter the shared address as the target mailbox.

Microsoft 365 (OAuth)

  1. Open your inbox and click Connect Channel
  2. Select Microsoft
  3. Sign in with your Microsoft account and grant the requested permissions
  4. Optionally enable Shared Mailbox and enter the shared mailbox address

For Microsoft shared mailboxes, the signing-in user must have Full Access permission to the shared mailbox in Exchange Admin.

IMAP / POP (Generic)

  1. Open your inbox and click Connect Channel
  2. Select IMAP / POP
  3. Enter the server host, port, and credentials
  4. Click Connect

Connecting SMS (Twilio)

  1. Open your inbox and click Connect Channel
  2. Select SMS / Phone
  3. Enter the Twilio phone number to connect
  4. Coherence will configure the webhook to receive incoming messages

Signatures

Each inbox can have a default email signature applied to outbound replies.

  1. Open the inbox settings (gear icon)
  2. Enter or paste your signature in the Signature field
  3. The signature is automatically appended to replies sent from this inbox

Deleting an Inbox

  1. Open the inbox settings
  2. Click Delete Inbox
  3. Confirm the deletion

Deleting an inbox removes it from the sidebar and stops syncing. Existing conversation history is retained.
