Consent & Privacy Controls
Configure data processing consent and privacy preferences at the account and user level
Coherence provides privacy controls at two levels — account-wide policies set by admins, and personal preferences for individual users.
Account-Level Controls
Admins configure these in Account Settings > Data & Privacy:
AI Data Processing
Toggle whether AI features (Copilot, Autopilot, data enrichment) can process workspace data. When disabled:
- Copilot won't access CRM records
- Autopilot cycles won't run
- AI-powered enrichment is paused
Product Analytics
Toggle anonymous usage analytics (powered by PostHog). When enabled, Coherence collects:
- Feature usage patterns (which pages are visited, which actions are taken)
- No personal data or record content is collected
- Used to improve the product experience
User-Level Controls
Each user manages their preferences in Settings > Data & Privacy:
Consent Tab
- AI Data Processing — Personal opt-in/out for AI features
- Product Analytics — Personal opt-in/out for analytics
- Marketing Emails — Control marketing communications
My Data Tab
- Export My Data — Request a copy of all your personal data stored in Coherence
- Delete My Data — Request erasure of your personal data (requires admin approval)
Requests Tab
Track the status of your data requests:
- View pending, processing, and completed requests
- Download completed data exports
- See estimated completion times
Account Data Export
Admins can request a full account-level export from Account Settings > Data & Privacy:
- Includes all records, documents, files, and activity data
- Delivered as a downloadable archive
- Tracked in the Data Requests table with status updates
Account Deletion
Account deletion is handled separately in Account Settings > Delete Account:
- 72-hour grace period before execution
- Requires typing the workspace name as confirmation
- Requires billing acknowledgment
- All active sessions are revoked immediately
- Coherence ops team is notified via email with full account details
