Agent Email

Let AI agents draft email in your mailbox and send it only after you approve the exact message

Agent email lets an AI agent you're chatting with prepare email for you. An agent can save a draft in your own connected mailbox, or ask to send a message from it. Nothing is sent until you approve the exact message — sender, recipients, subject, and body.

Agent email is off by default. A workspace Owner or Admin has to turn it on. Until they do, agents can still write email content in chat for you to copy, but they can't save drafts in your mailbox or send anything.

Turn it on

  1. Go to Settings → Account → AI.
  2. Turn on the Agent email switch.

Only Owners and Admins can change the switch. The card also shows how many emails agents have sent in the workspace today.

Each person who wants to use it also needs:

  • A connected Gmail or Microsoft 365 mailbox in Mail. Agents draft and send from your own mailbox, or from a shared inbox you belong to.
  • The permission to draft and send mail, which the Owner, Admin, Manager, and User roles have by default.

Where it works

Agent email works only when you ask an agent in a Coherence chat. It always acts for the person who asked, from that person's mailbox.

It is not available to work that runs without you in the conversation: scheduled playbooks, background agent tasks, the Agents API, and the MCP server can't draft or send email from a mailbox.

Drafting

Ask an agent to draft an email and it saves the message as a draft in your mailbox. Nothing is sent. Open the draft in your mailbox to review, edit, and send it yourself.

Sending

When you ask an agent to send an email, it creates an approval request instead of sending:

  1. The request appears as an approval card on your Home feed, under Needs you now.
  2. The card shows the exact email: From, To, Cc, Bcc, subject, and body. If it's a reply, it also shows the message being replied to. Approve stays unavailable until the full email has loaded on the card.
  3. Review it, then click Approve & send or Reject.

The email is sent only after you approve it, and the body is sent exactly as the card shows it.

  • Only you can approve it. The person who asked is the only person who can approve the send. Approval rules, auto-approve, other people, and other agents can't approve it for you.
  • Approve in the Coherence app. Replying "yes" to the agent in chat, or replying to an email, does not approve a send. Use the approval card.
  • Changes stop the send. If the message, the sender mailbox, or the draft in your mailbox no longer matches what you approved, the email is not sent and the card shows Not sent — draft changed.
  • One send per approval. If the mail provider doesn't confirm delivery, the card shows Send not confirmed and Coherence does not retry on its own. Check your Sent folder before asking again. If an identical email was already sent in the last 24 hours, the card warns you before you approve it again.

Replies are threaded with the original conversation, and sent messages appear in your mailbox's Sent folder.

Limits

  • Up to 5 recipients per message, across To, Cc, and Bcc.
  • Known recipients only. Every recipient must already be a person in your People records that you can see, or already be on the thread you're replying to. To email someone new, add them to People first.
  • Plain text only. Line breaks are kept; formatting, HTML, and Markdown are not rendered. Attachments aren't supported.
  • A daily limit per workspace — 50 agent-sent emails a day by default. The Agent email card shows today's count.
  • Not for bulk email. Use Campaigns for newsletters and other mass sends.

Privacy and audit

The contents of an agent email approval are visible only to the person whose mailbox sends it, anyone the approval is assigned to, and workspace Owners and Admins. Everyone else sees only that an email to a number of recipients is waiting. Drafts and sends are recorded in the workspace audit log.
