Data Privacy & GDPR

Manage data privacy compliance, consent, and data subject requests

Coherence includes built-in tools to help your workspace stay compliant with GDPR, CCPA, and other data privacy regulations. Manage consent, handle data subject requests, and configure data retention — all from within the platform.

Data Subject Requests

When someone requests access to their data, correction, or deletion, you can handle it directly in Coherence:

Right of Access (Data Export)

Export all data associated with an individual — records, emails, activity logs, and notes — as a structured download.

Right to Erasure (Deletion)

Permanently delete all personal data associated with an individual across your workspace, including linked records, email references, and audit entries.

Right to Rectification (Correction)

Update or correct personal data across all records where an individual appears.

Managing Requests

  1. Navigate to Settings > Data Privacy
  2. Create a new data subject request
  3. Specify the request type (access, erasure, rectification)
  4. Coherence identifies all data linked to the individual
  5. Review and confirm the action

Erasure requests are permanent and cannot be undone. Coherence will show you exactly what will be deleted before you confirm.

Track consent status for your contacts:

  • Record when and how consent was obtained
  • Track consent purpose (marketing, data processing, etc.)
  • Manage consent withdrawal

Data Retention

Configure automatic data retention policies to ensure data isn't kept longer than necessary:

  • Set retention periods by record type
  • Automatic cleanup of expired data
  • Retention policies work alongside the audit log retention settings

Compliance Dashboard

The Data Privacy settings page provides an overview of:

  • Pending data subject requests
  • Consent coverage across your contact database
  • Active retention policies
  • Recent privacy-related actions
