Creating and Sending Invoices

Prepare a draft, issue a numbered invoice, and send a customer link with a PDF download.

Start from the Invoicing list or from a CRM Account's Invoicing tab. Creating and editing a draft requires draft permission; issuing and sending have separate permissions.

Create a draft

  1. Select New invoice.
  2. Select the customer Account, or enter bill-to details directly. Selecting an Account copies its saved billing details and payment terms. Starting from an Account's Invoicing tab does this automatically.
  3. Optionally select a related deal or project to provide context.
  4. Review the Invoice Brand, seller, and bill-to details, including the customer's email address for invoice delivery. The Brand defaults from Invoice settings; you can override it on this draft.
  5. Set the currency, issue date, due date, payment terms, and purchase order number as needed.
  6. Add line items with descriptions, quantities, and prices. Enter any fixed discounts and applicable tax percentages.
  7. Review payment instructions and notes. If you want to offer cards and Stripe is ready, select Accept online card payment with Stripe on the draft.
  8. Save the draft.

Tax amounts are calculated from the rates you enter. Coherence does not determine which tax rules or rates apply to your sale.

Draft edits apply only to that invoice. Switching to another Account asks before replacing existing Bill to details, terms, and the due date. To change reusable defaults, use Account → Invoicing → Billing details or Invoice settings.

Review and issue

Check the customer details, amounts, currency, due date, and payment instructions. An authorized teammate can then issue the invoice.

Issuing assigns the next invoice number and preserves the document details. An issued invoice cannot be edited like a draft. If an unpaid invoice is incorrect, an authorized teammate can void it and create a replacement. For an invoice with payments, review payment corrections first.

Issuing and sending are separate actions. Issuing an invoice does not by itself email the customer.

Send or share

From the invoice detail view, use the available actions to send the invoice email, copy its customer link, or download its PDF.

The email contains a customer link, where the recipient can view the invoice and download a PDF. The PDF is not an email attachment. Email is queued for delivery; check the invoice's delivery status rather than treating a queued message as delivered.

You can also share the customer link through your own communication process. Recipients do not need to sign in to Coherence. Treat the link as private: anyone who has it can view the invoice.

The customer view

The customer sees the invoice details, payment instructions, and remaining balance. A PDF download is available. If online payment was enabled on the invoice, the connected Stripe account is ready, and the invoice has an outstanding balance, the customer can start card checkout.

Sending an invoice does not charge a card or initiate a bank transfer. The customer chooses when to pay using the available methods.

Follow up

Use the invoice list to find outstanding or overdue invoices and open their details to review payments and activity. If reminders are enabled in settings, you can pause them per invoice when arranging a payment plan or resolving a question.
