Customer Invoicing

Create account-linked invoices, send customer links and PDFs, and track payments on Pro and Team.

Use Invoicing to bill your customers from Coherence. Create a draft, issue a numbered invoice, send a customer link, and track its balance as payments arrive. Customers can download a PDF without signing in to Coherence.

Invoicing is included on Pro and Team, including active trials of those plans. Staff also needs invoice permissions. Free and Starter do not include invoicing. This feature is separate from Billing, where you manage your own Coherence subscription.

Choose how customers pay

Stripe is optional. Include your business's check, wire, or bank-transfer instructions on an invoice and record receipts manually when the money arrives. Partial payments are supported.

For card payments, an administrator can complete the optional Stripe setup. The current setup creates a Stripe account for your business. Linking an existing Stripe account is not yet supported. Stripe processing fees apply; Coherence adds no transaction fee.

Open Invoicing

Open Invoicing from the workspace navigation. Use the list toolbar to search, filter by status, or create an invoice. Open a row to see its document, payments, activity, and available actions. The invoice sidebar provides access to Invoice settings for authorized teammates.

You can also open a CRM Account and select its Invoicing tab. It shows that account's related invoices and balances. Select New invoice to start a draft with the account selected.

Accounts, deals, and projects

The customer relationship links to a CRM Account. The picker does not offer unrelated modules such as Users or Tasks. A separate optional reference can link a deal or project to explain the work being billed.

An account link is optional: you can enter the bill-to details directly. Review those details before issuing. Seller and customer details are saved with the invoice, so later record changes do not rewrite an issued document.

Permissions

Plan access and role permissions both apply. The default grants are:

Ordinary users and agents have no invoice access by default. Administrators can change grants in Roles & Permissions. A teammate with draft access may need an authorized teammate to issue or send the invoice.

Customers using an issued invoice's signed link do not need a workspace account or paid Coherence plan. Share that link only with the intended recipients; anyone who has it can open the invoice.

What happens after a downgrade?

If the workspace loses Pro or Team access, staff cannot use Invoicing or its setup screens. Existing invoice records are retained. Issued customer links, PDFs, online payment handling, and payment reconciliation continue so existing invoices can be settled. Previously enabled reminders also continue; pause any unwanted reminders before downgrading.

Current scope

This release supports one-time invoices and payment tracking. It does not include recurring invoices, credit notes, automatic tax calculation, bank-feed reconciliation, or accounting-system sync. Enter the applicable tax rates yourself; Coherence calculates the amounts from the rates you provide.
