Invoice Setup
Set seller details, numbering, payment instructions, reminders, and optional Stripe card payments.
An Admin or Owner can open Invoice settings from the Invoicing sidebar. Custom roles need the invoice management permission. Your workspace must have Pro or Team access.
Set your defaults
- Enter your business details in Seller, including the billing contact and address you want on invoices.
- Choose the Default currency and Payment terms (days).
- Set an Invoice number prefix. Coherence assigns the sequential number when you issue an invoice.
- Add Default payment instructions. For checks, include the payee and mailing instructions. For wires or bank transfers, provide the instructions your business wants customers to use.
- Save the settings.
Defaults apply to new drafts. Review each draft before issuing it. Changing settings later does not change documents you have already issued.
Choose an invoice Brand
Use Default invoice Brand in Invoice settings to select a Brand record. Its primary logo and accent color appear on the invoice PDF and customer page. The preview shows the logo, or explains when the Brand has no logo. Add or change logos on the Brand record.
Each new draft starts with this Brand; choose another Brand or No Brand on that draft when needed. Branding does not replace the Seller name or legal billing identity. Issuing saves a permanent copy of the logo and document details, so later Brand, Account, or settings changes do not alter the issued invoice. Existing issued invoices remain unchanged.
Save an Account's billing details
Open a CRM Account → Invoicing → Billing details. Save the Bill to name, billing email, address, tax ID, and preferred payment terms in days. Leave terms blank to use Invoice settings; enter 0 for payment due on receipt. Editing these defaults requires invoice draft permission and permission to edit Accounts. Invoice viewers with access to the Account can read them.
Selecting that Account on a new invoice, including New invoice from its Invoicing tab, fills those details and calculates the due date. You can edit the resulting draft without changing the Account's defaults. Switching Accounts asks before replacing existing Bill to details, payment terms, and the due date.
Overdue reminders
Reminders are off by default. In Invoice settings, enable them and select the days after the due date when customers should receive a reminder.
Reminders require a customer email address. They stop when the invoice is paid or voided, and can be paused for an individual invoice. If several scheduled reminders were missed, Coherence combines the missed reminders instead of sending them all at once. Delivery depends on your installation's configured email service.
Optional Stripe card payments
You can issue invoices and record offline payments without Stripe. Enable Stripe only if you want customers to pay by card from their invoice link.
- Open the Stripe section in Invoice settings and review the authorization disclosure.
- Authorize the integration and start Stripe setup.
- Complete Stripe's hosted onboarding, business information, verification, and agreements in Stripe.
- Return to Coherence and refresh the connection status if needed.
- Wait until the status says Connected and ready to collect payments before offering card payments.
- Select Accept online card payment with Stripe on each draft you want to collect online, before issuing it.
The current flow creates a Stripe account for your business. Connecting an already-existing Stripe account is not yet supported. Your business receives full Stripe Dashboard access, where you manage payouts, refunds, disputes, and information requested by Stripe.
Card payments are created directly on your business's connected Stripe account. Your business pays Stripe's processing fees; Coherence does not add a transaction fee. Bank-transfer instructions entered on an invoice remain manual instructions, not a Stripe bank-transfer integration.
Resolve a setup problem

Returning from Stripe does not by itself mean verification is complete. Coherence checks the account's readiness before allowing checkout. Payment history is retained if the connection is revoked.
